Scope 3 Calculation Template Excel (GHG Protocol)

📅 Updated 26 October 2026 📊 Excel · .xlsx 🆓 Free Resource

A Scope 3 calculator Excel template is the document almost every sustainability team reaches for before they buy anything, and the one that most often turns out to be a single spend-based tab with no audit trail. A number without a method is not a starting point — it does not show which of the 15 GHG Protocol categories it covers, what data quality sits behind it, or what you’d have to change to defend it to a verifier. This one does. It covers all 15 upstream and downstream Scope 3 categories, built around the GHG Protocol Corporate Value Chain Standard, with US EPA factors and US units loaded — for the person who actually has to produce the number.

🔑 What you get

  • All 15 GHG Protocol Scope 3 categories — upstream (1–8) and downstream (9–15), with a default emission factor wherever a generic one exists, and a “Factor missing” flag where only your own data will do (categories 8, 10, 11, 13, 14 and 15).
  • US EPA emission factors built in — 27 activity factors from the EPA GHG Emission Factors Hub 2025 for travel, freight and waste in US units (miles, short tons), a grid-loss factor for energy, and 16 spend categories from EPA v1.3 (kgCO₂e per 2022 USD), each with its unit, source and applicable category, editable where you have supplier-specific data.
  • An automatic dashboard — total tCO₂e, upstream-versus-downstream split, the largest category, all 15 categories with a status (Complete, Empty, No data, Factor missing), the top 5 emitters and a data-coverage percentage, all refreshing as you type.
  • An Assumptions tab built for audit — reporting currency, consolidation approach, factor versions, data-quality notes and the spend-based price-year setting; incomplete cells flag themselves in red before a reviewer ever sees the file.
  • All four GHG Protocol calculation methods explained — activity-based, spend-based, distance-based and average-data — with guidance on which applies to which category.
  • A Disclosure Report tab — pulls company name, reporting year and total emissions automatically, formatted for CSRD, CDP or internal stakeholder reporting.

What’s Inside the Scope 3 Calculator Excel Template

Eight tabs, each with one job. Enter your data once in the core tab and the rest — factors, dashboard, disclosure summary — compute themselves.

Workbook structure, tab by tab
TabWhat it does
Start HereThe colour guide, the four steps to follow, and the standards and factor sources the workbook uses.
Company InfoOrganisation name, reporting year, consolidation approach, base year and the currency used for spend-based categories.
Scope 3 — All CategoriesEvery GHG Protocol category from purchased goods (1) to investments (15), upstream and downstream clearly separated, with a default factor where one exists, a spend-category picker for categories 1 and 2, and the source of each default.
Emission FactorsReference values for travel, freight, energy, waste and spend-based categories, from the US EPA GHG Emission Factors Hub 2025 and the US EPA Supply Chain GHG Emission Factors v1.3, each with its unit, source and applicable category. EPA lists CO₂, CH₄ and N₂O separately; the tab converts them to CO₂e with visible formulas.
DashboardTotal tCO₂e, upstream/downstream split, largest category, all 15 categories with their status, top 5 emitters, and percentage of categories with data — all automatic.
AssumptionsReporting currency, primary country of operations, consolidation approach, factor versions, data-quality notes, known gaps and the spend-based price-year setting — empty cells turn red until completed.
MethodologyThe four GHG Protocol calculation approaches explained, with the core conversion formula and guidance on which method fits which category.
Disclosure ReportAn auto-generated summary — company name, reporting year, total emissions, methodology statement — formatted for CSRD, CDP or internal reporting.

Blue cells are your data entry fields. Yellow cells hold the emission factors — editable, so you can substitute supplier-specific or sector-specific values where available. Green cells calculate automatically and should not be edited.

💡 The core formula: Emissions (tCO₂e) = Activity Data × Emission Factor ÷ 1,000. The Methodology tab shows exactly which data source and which method each category needs.

⚠️ Built-in documentation check. Empty cells in the Assumptions tab turn red automatically, flagging incomplete documentation before a file is submitted for review.

Who This Is For

Built for the person who has to produce the number, not the person who reviews it from a distance: sustainability managers running a first Scope 3 inventory, EHS professionals documenting methodology for ISO 14001 or CSRD, finance teams responding to CDP or investor requests, and consultants who need a transparent, auditable client deliverable.

If you need multi-site data consolidation, ERP integration or supplier data collection at scale, a spreadsheet stops being the right tool. Our Best Carbon Accounting Software 2026 ranking compares dedicated platforms such as Watershed, Persefoni, Normative and Greenly for that scale.

How It Works

  1. Company Info. Open the Company Info tab and fill in your organisation name, reporting year, and consolidation approach — operational control, financial control, or equity share.
  2. Assumptions. Complete the Assumptions tab before entering any data. This forces a decision on reporting currency, emission factor source, and boundary before numbers go in — the most common source of errors in Scope 3 inventories.
  3. Read the Methodology. Five minutes tells you which calculation method applies to each of your material categories and which data source you need to collect.
  4. Enter Activity Data. In the Scope 3 — All Categories tab, fill the blue cells. Start with the categories where you have the best data — typically energy (3), business travel (6), and waste (5). For categories 1 and 2, pick the closest spend category in the Notes column. Leave the others blank for now: the dashboard shows them as “No data”.
  5. Check the Dashboard. See which categories drive emissions and which still have no data. Use the data-coverage metric — percentage of 15 categories with at least one entry — as a quality indicator.
  6. Export for Disclosure. The Disclosure Report tab is ready to attach to a CSRD section, a CDP response, or an internal sustainability report.

How long a first estimate takes depends mostly on how quickly you can collect the activity and spend data.

Which Scope 3 Calculation Method Should You Use?

The GHG Protocol supports four calculation methods, each suited to a different data situation. This template supports all four.

The four GHG Protocol methods
MethodBest forData neededTypical categories
Activity-basedHighest accuracyMeter readings, utility bills, logistics dataAny category with real consumption data
Spend-basedFastest starting pointProcurement spend × US EPA v1.3 factor for the closest industry (NAICS) category1 (purchased goods), 2 (capital goods)
Distance-basedTransport categoriesMiles, passenger-miles or short ton-miles × EPA mode factor4, 6, 7, 9 (freight, travel, commuting)
Average-dataLeased assets, processing & end of lifeFloor area or output intensity factor8, 10, 12, 13

⚠️ Spend-based results are the least precise. Treat them as a directional estimate and upgrade to supplier or activity data for your highest-emitting spend categories first. The EPA factors are expressed per 2022 US dollar: the Assumptions tab lets you adjust later-year spend to 2022 prices.

Frequently Asked Questions

What is a Scope 3 emissions calculator?

A tool that helps organisations measure the indirect greenhouse gas emissions occurring across their value chain — from the goods they purchase through to the end-of-life of the products they sell. The GHG Protocol Corporate Value Chain Standard defines 15 categories of Scope 3 emissions that companies use to structure their inventory.

Does this template cover all 15 GHG Protocol Scope 3 categories?

Yes. The Scope 3 — All Categories tab includes a dedicated row for each of the 15 categories defined in the GHG Protocol Scope 3 Standard, covering both upstream (1–8) and downstream (9–15) activities.

Which emission factors are used in this template?

The US EPA GHG Emission Factors Hub 2025 for travel, freight, energy and waste, and the US EPA Supply Chain GHG Emission Factors v1.3 (kgCO₂e per 2022 USD, purchaser price) for spend-based categories. EPA lists CO₂, CH₄ and N₂O separately; the workbook converts them to CO₂e with the IPCC AR5 values given in the Hub. EPA notes that its transport and electricity factors cover combustion only, so the category 3 default covers electricity lost in transmission and distribution, not upstream fuel production. All factors are visible and editable in the Emission Factors tab. EPA updates the Hub once a year: check for a newer edition before each reporting cycle.

Which units does this template use?

US customary units, matching the EPA factors: miles, vehicle-miles and passenger-miles for travel and commuting, short ton-miles for freight, short tons for waste, kWh for electricity, square feet for leased space and US dollars for spend. Results are in metric tons of CO₂e (tCO₂e), the unit GHG Protocol inventories are reported in.

Is this template free to download?

Yes, entirely free. Enter your name and email address in the download box above and you’ll receive the file by email via our secure delivery system. You’re welcome to use, adapt and share the template with attribution to AiGreenTools.com.

Can I use this template for CSRD reporting?

It covers the data-collection and calculation steps of a Scope 3 inventory, and the Assumptions tab documents the methodology choices a reviewer will ask about. CSRD reporting also involves a double materiality assessment and ESRS data-point mapping, which go beyond what a spreadsheet can cover — see What Is CSRD? for the full picture.

Why do some categories have no default emission factor?

Because no generic factor would be honest for them. Leased assets (8 and 13), processing and use of sold products (10 and 11), franchises (14) and investments (15) depend on your own assets, products and portfolio. Enter your factor in the yellow cell; until you do, the dashboard marks the category “Factor missing” instead of silently counting zero.

Does this work in Google Sheets?

The formulas use standard functions (SUM, IF, IFERROR, INDEX, MATCH, COUNTIF, LARGE) that Google Sheets supports. Charts may render slightly differently from Microsoft Excel, so check them after uploading the file to Google Drive.
